This position provides space analysis and planning services within the Space Management Office at UW Madison. The Space Management Office, with the Division of Facilities Planning and Management (FP&M), provides the analytical infrastructure for informed decisions about the University's space utilization and the higher education learning environment. Work is performed under the general supervision of the Assistant Director of the Space Management Office.
Space Analysis and Planning - 60% - Engage with individual divisions and departments to understand short and long-term academic, research, and administrative space needs in detail - Develop space program documents with preliminary test fit plans and cost estimates for short and long-term space needs - Review space and project requests and recommend options - Develop and monitor relocation sequence plans including identification of space, programming, and preliminary design - Monitor space allocations from request to occupancy to meet program needs and required space standards - Develop and maintain a process for direct, regular user input of space data - Contribute to the development and maintenance of internal and external space reports and metrics
Space Data and Inventory System Maintenance - 20% - Contribute to the management of UW-Madison's space inventory system - Provide accurate and reliable building, room, occupant, and use information to support and enhance the analytic and customer service capabilities of the office - Assist with analytical reports involving program evaluation and building and department space-related issues - Conduct studies of building and departmental spaces across campus - Gather and verify space data through building walk-throughs and online survey tools - Work closely with CAD staff and move coordinators to ensure that space information is accurate and accurately reflected in the database and floor plans - Assist with the office's involvement in the federal Office of Management and Budget Circular A-21 Facilities and Administration audit of UW-Madison research space - Develop and maintain familiarity with national space allocation processes, policies, and trends at peer universities, and conduct comparative analysis as appropriate - Ensure timeliness and accuracy of the facilities and room data - Contribute to development and maintenance of historical data storage processes for both space assignments and facility information
Space Management - General - 20% - Assist with improvements to and ensure maintenance of file management and structure - Assist with documentation and development of all Space Management business processes at the direction of Space Management leadership - Assist with tabular and graphical reports as needed - Expand network resources in efforts to accomplish institutional and departmental goals - Contribute to maintenance of comprehensive historical profiles of UW-Madison facilities

Bachelor's degree with major studies in architecture, space planning, or related field required.
Required: - A minimum of 7 years' experience in architecture, design, space planning, or related field - Experience leading facility programming projects and teams - Proficiency with AutoCAD, Revit, MS Office including Excel, Word, and Outlook
Preferred: - 8+ years' experience in architecture, design, space planning, or related field - Experience with data visualization software (i.e. - Tableau, BIRT) - Knowledge of administrative structure and functional requirements of facilities in higher education - Knowledge of Higher Education Facilities Inventory Classification Manual (FICM) space codes - Advanced proficiency with scripting/automation in AutoCAD, Revit, and/or Excel

The Division of Facilities Planning & Management (FP&M) is a full-spectrum service organization that builds, maintains, and operates the physical environment of the UW-Madison campus in support of the university’s education, research, and outreach activities.
FP&M works behind the scenes to coordinate campus planning, manage design and construction, maintain and operate buildings and grounds, supply utility services, ensure health and safety, and provide parking and transportation services.

FP&M’s sphere of operations extends to the entire 936-acre UW campus and includes buildings and grounds, walkways and roadways, parking lots, vehicles, and utility generation and distribution systems. On the main campus, this includes 420 buildings containing more than 17 million assignable square feet (ASF) of academic and research space and more than 25 million total gross square feet (GSF).
