Boulder Associates Architects is a leader in design for healthcare and senior living, providing architecture and interior design services from thriving offices in San Francisco, Boulder, Los Angeles, Sacramento, Charlotte, Irvine and Dallas. We are adding an office coordinator to our administrative team, coordinating administrative services supporting a 130-person architectural firm. We are looking for a service-oriented individual who collaborates, takes initiative, organizes and is looking to continuously improve. Key Areas of Responsibility:
• Answer phones and greet guests • Use MS Word templates to edit and update architectural contracts and specification documents • Assist with the creation of proposals • Organize construction administration activities • Coordinate meetings, events, and travel • Support local and company-wide meetings, in the use of conference equipment and/or audio visual equipment • Inventory and order office and kitchen supplies • File and/or scan architectural documents on an ongoing basis • Assist with accounting duties and expense report preparation • Distribute incoming mail and prepare outgoing mail and FedEx and UPS for pickup • Help to maintain a tidy and professional environment • Coordinate with building management about facilities/building issues and parking • Occasionally drive to submit drawings to the city, run general errands and support off-site meetings • Assist with other administrative tasks as needed
• At least one year of administrative experience • Ability to use a multi-line phone system, often handling several calls at once • Ability to use and set-up the inter-office videoconferencing system • Proficiency in Word, Outlook, Excel and the Google Suite • Professional written and verbal communication • Professional appearance • Ability to manage multiple tasks in a deadline-driven environment • Reliable, organized, and efficient working style • Friendly, gracious, and enthusiastic working style • Ability to lift 25 lbs. • Ability to drive and reliable transportation
• Experience with architectural administration, especially AIA documents • Professional experience in the A/E industry • Undergraduate degree
