Provide a broad range of project coordination support functions to project managers of the Retail Tenant Design & Construction Teams for multiple mixed-use retail developments in the Northeast region for the Boston office of DMA. Candidate should possess an interest in large scale development work focused on retail and restaurant tenant delivery with a focus on design and construction, on behalf of developers and property owners. The position supports DMA project managers who liaise between national and local retailers/restauranteurs and developers, requiring interaction with leasing, operations, design, and construction teams on both the landlord and tenant sides.
Overview of Responsibilities:
This multi-faceted role demands the ability to prioritize numerous tasks and deadlines in a fast-paced environment, working with several project managers simultaneously. Must be able to balance more sophisticated assignments with willingness to achieve goals in a supportive administrative role, and eagerly handle more perfunctory clerical tasks. The ideal candidate will be flexible, team oriented and willing to take ownership of multiple tasks and responsibilities. The following skills are required:
Background in interior design, architecture, engineering, construction management or tenant coordination
Advanced use of MS Office Suite, including Excel and Power Point
Advanced use of Adobe Acrobat and/or Bluebeam
Ability to read construction drawings
Willingness to learn and take ownership of the retail tenant delivery tasks as referenced below
Work and education history must indicate success in juggling a multitude of responsibilities, ability to make independent decisions and demonstrate a high degree of flexibility and diligence. Superior organizational skills as well as excellent verbal and written communication skills required. Being able to take on a problem and independently search for a solution is critical to this position. This position has the potential to grow into a project manager in the future with demonstrated success.
RETAIL TENANT DESIGN & CONSTRUCTION PROJECT TEAM COORDINATION RESPONSIBILITIES:
Effectively communicate critical project information and ongoing status changes to tenants, contractors, architects, engineers, leasing, development and project executives.
Assist in drawing review process of tenant fit out and/or signage for conformance to design criteria.
Create documents to synthesize lease and other critical information for team distribution.
Customize welcome packages to all retail tenants, including design criteria and other critical documents or lease exhibits.
Assist team in obtaining retail tenant scheduling information and managing necessary information related to lease milestones for landlord work and tenant fit out, including drawing submissions, permitting, possession dates, construction commencement and completion, and opening.
Enter all information into TC tracking systems and communicate critical information to TC team/development/leasing team.
Assist project managers in solicitation or preparation of contracts for architectural, engineering, construction or other vendors.
Request, track and file all pertinent documents as required by leases and/or contracts. (i.e. W9, Certificate of Insurance (COI), construction deposits).
Coordinate permitting process information established with local jurisdictions as required by the project.
Collaborate with project managers to prepare punch-lists/space acceptance forms and distribute to tenants and contractors.
Transmit time sensitive information to retail tenants in an organized and effective manner.
Conduct vacant space assessments or field surveys as required.
Attend status and team meetings as required.
ADMINISTRATIVE SUPPORT RESPONSIBILITIES:
Manage effective digital filing system and maintain correspondence files for each tenant and their drawings in an organized manner.
Execute administrative functions required for construction drawing receipt, download, and distribution or printing.
Create and distribute reports to the team for weekly/monthly status meetings and other reports as needed to leasing, legal, development.
Schedule calls and meetings for project managers.
Handle administrative tasks associated with TC team activities, including requests for project information and drawings. (i.e. send FEDEX, messenger, update contact lists, drawing log etc.).
Assist with project closeout documentation and distribution.
